Privacy Policy

How we collect, use and protect personal data — for the hotels who use Porter and for their guests. Last updated 3 June 2026.

1. Who we are

Porter is a trading name of Travel Global Limited (“Porter”, “we”, “us”, “our”), a company registered in England and Wales (company number 12323610). We provide software that helps independent hotels create branded digital guest guides, online hotel stores, and post-stay feedback tools.

2. The roles we play

Our responsibilities depend on whose data is involved:

  • For hotel customers — when a hotel signs up and uses Porter, we act as a data controller for the account and billing information of that hotel’s staff.
  • For hotel guests — when guests view a guide, submit feedback or make a purchase, we generally act as a data processor on behalf of the hotel, which is the controller of its guest relationships. Each hotel is responsible for having a lawful basis and its own privacy notice for its guests.

3. Information we collect

We collect the following categories of personal data:

  • Account information — names, email addresses, hotel/organisation details and login credentials of staff who sign up.
  • Guide content — the text, images, links, settings and branding you add to your guide, shop and feedback pages.
  • Website data — when you ask us to build a guide from your website, we read publicly available content (colours, fonts, images, text) from the URL you provide.
  • Guest information — where a guest interacts with a guide, this may include the dates of their stay, feedback they submit, items they buy, and contact details they choose to provide.
  • Usage and device data — aggregate analytics such as guide views, and technical information (IP address, browser type, approximate location) used to operate and secure the service.
  • Payment information — handled by our payment provider. We do not store full card details on our systems.

4. How and why we use data

We use personal data to:

  • Provide, maintain and improve the Porter service and its features;
  • Create and host your branded guide, shop and feedback pages;
  • Process payments, subscriptions and (for Shop) guest transactions;
  • Provide support, send service communications and respond to enquiries;
  • Produce aggregate analytics and product insights;
  • Keep the service secure and prevent fraud or abuse;
  • Comply with our legal obligations.

We do not sell personal data, and we do not use guest data to advertise to guests.

5. Our legal bases (UK GDPR)

  • Contract — to provide the service you (or your hotel) have signed up for.
  • Legitimate interests — to operate, secure and improve Porter, where this is not overridden by your rights.
  • Consent — where required, for example certain analytics or marketing. You can withdraw consent at any time.
  • Legal obligation — to meet our regulatory and tax duties.

6. Sharing and sub-processors

We share data only with trusted service providers who help us run Porter, under appropriate contractual safeguards. These currently include providers for:

  • Cloud hosting, database and authentication;
  • AI-assisted content and branding analysis;
  • Maps and local recommendations;
  • Website screenshot and preview generation;
  • Payment processing;
  • Email delivery and customer support.

We may also disclose data where required by law, to enforce our terms, or in connection with a business transfer. A current list of sub-processors is available on request.

7. International transfers

We aim to process data within the UK and European Economic Area. Where data is transferred outside these regions, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses.

8. How long we keep data

We keep personal data only as long as needed to provide the service and meet legal, accounting or reporting requirements. Account and guide content is retained while your account is active and for a reasonable period afterwards, then deleted or anonymised. Hotels can request deletion of guest data they control at any time.

9. Security

We use technical and organisational measures — including encryption in transit, access controls and row-level data isolation — to protect personal data. No system is perfectly secure, but we work continuously to safeguard the information entrusted to us.

10. Your rights

Subject to UK GDPR, you have the right to:

  • Access the personal data we hold about you;
  • Correct inaccurate data;
  • Request erasure of your data;
  • Restrict or object to certain processing;
  • Data portability;
  • Withdraw consent where processing is based on consent.

To exercise these rights, email privacy@tryporter.co.uk. If you are a guest of a hotel that uses Porter, please contact that hotel in the first instance, as it is the controller of your data.

11. Cookies and analytics

We use essential cookies to keep you signed in and to operate the service, and limited analytics to understand how guides are used. We do not use guest data for cross-site advertising.

12. Children

Porter is intended for use by hotel businesses and their adult staff. It is not directed at children, and we do not knowingly collect data from children.

13. Changes to this policy

We may update this policy from time to time. We will post the updated version here and change the “last updated” date above. Material changes will be communicated to account holders.
